Visitor Configuration

The Visitor Configuration Options allow administrators to configure general settings for the Visitor module. Only users with appropriate administrative rights can access this option.

Additional visitor options, such as whether the Visitor module is turned off for a particular property, visitor desk hours, and page refresh rate, can be set on a per-property basis. For more information, see the Other Options pane on the Edit a Property page.

To configure visitor configuration options:

1. Open the Administration Menu page.

2. Under the VISITOR ADMINISTRATION heading, click Configuration Options.

3. Specify values for any of the following options:

   • WO Integration – Selecting Enabled turns on the Visitor Work Order Integration functionality. If a work order is created and assigned to a user from an outside company, this functionality allows a visit to automatically be created to accompany the work order. For more information, see Visitor Work Order.
   • Person Visiting Space/Floor Required – Selecting Yes indicates that specifying a space/floor is required when a new visit is created.

   • Person Visiting Notification – Selecting Yes will display the Notify Person Visiting check box on the Add Visit page. This allows the person who is being visited to receive an email notification of a visit.

   • Person Visiting Notification Default – This field works in conjunction with the Person Visiting Notification field. Selecting Checked will cause the Notify Person Visiting check box, if displayed, to be selected by default.

   • CC Email – Selecting Yes will display the Email CC field on the Add Visit page. This allows an additional person to receive an email notification of a visit.

     Only users who have the Receives Visitor Email? flag on the Edit User page set to Yes will receive email notifications for visits.

   • Visitor Picture – Selecting Enabled turns on the Visitor Picture functionality. This allows a scanned picture of a frequent visitor to be stored along with their visitor profile. Visitor pictures can be added to a visitor's profile on the Edit Visitor page. Visitor image document settings must be established before this functionality can be enabled.    • Notification Subject – This field works in conjunction with the Person Visiting Notification field. It specifies the subject line of the email notification sent about the visit. The subject can contain print tokens (variables surrounded by % characters) that allow variable values to be included. For more information, see Tokens.
   • Notification Body – This field works in conjunction with the Person Visiting Notification field. It specifies the body content of the email notification sent about the visit. The body can contain print tokens (variables surrounded by % characters) that allow variable values to be included. For more information, see Tokens.

4. Click UPDATE.
